Canadian Federation of Engineering Students Board of Directors Online Meetings Meeting Structure Meeting Agendaâs will have the following basic structure: 1. 2. 3. 4. 5. 6. 7. Set date for next meeting 9. Open discussion â Question Period 10. Adjournment Post meeting responsibilities ⢠⢠A transcript will be recorded as a log file by the Chair. Meeting minutes will be released as soon as possible after the meeting. Page 1 of 3 Canadian Federation of Engineering Students Board of Directors Online Meetings Ground Rule Guidelines The following are meeting Guidelines created in conjunction with Robertâs Rules1 of order. These ideas are not exhaustive, and I would appreciate any input on how to better form them. If you need to ask a question on a subject, please indicate so, and the Chair will place you on the speakers list which the Chair will maintain. This can be done while someone currently has the floor, but you cannot speak on the subject until you are recognized by the Chair. <CHAIR> (Raised hand) If you need to interrupt, you may use any of the standard Robert's Rules of order: Point of Information â A request for information relating to the pending business Question of Order â Takes precedence of the pending question out of which it arises; is in order when another has the floor If you type slowly, or are not finished typing your thoughts, please indicate so <CHAIR> The costs were much less then expected ... (Contâd) When you have finished speaking, please indicate so. <CHAIR> ⦠and that is why there is a surplus in the budget. (Finished) If you feel that the discussion is becoming circular, please indicate so <CHAIR> (Circular arguments) If you feel that the discussion is lacking focus, please indicate so <CHAIR> (Focus please) If you believe that discussion is finished you may call the motion to question if you are the current speaker recognized by the Chair. Read the agenda and discussion before the meeting, so we can discuss our thoughts on those ideas at the meeting. Type your question in the background so when you are recognized by the Chair you can simply copy and paste your questions or comments.
